Job Description

We are currently seeking qualified candidates to join Beacon Pointe Wealth Advisors in a varied role in our Bala Cynwyd, Pennsylvania office. The ideal candidate will be responsible for assisting in all aspects for the firm’s daily operations in addition to handling general office management duties and serving as an Executive Assistant to the Managing Director.  Person will join a highly talented team of wealth management and client service professionals that service sophisticated, high net worth individuals.  The team is responsible for providing clients with comprehensive wealth management services including customized investment management and financial planning services to help our clients achieve their financial goals.

 

Responsibilities

  • Serve as Executive Assistant to partner which includes schedule management, meeting preparation and presentations, general office organization and task management
  • Answer incoming calls and appropriately directing them as needed
  • Serve as an ambassador of the office by greeting clients and visitors upon arrival for meetings
  • Handle incoming and outgoing mail, faxes and maintenance of office equipment and business services
  • Order food and beverage for meetings and at times picking up/ delivering
  • Maintain office supplies and reorder as needed; keep kitchen and common areas tidy
  • Serve as office liaison with vendors and building management
  • Input and update client information into various internal systems including CRM (Microsoft Dynamics/Salesforce) and Portfolio Management databases (Tamarac Advisor View)
  • Serve as local office marketing point person
  • Deliver client/ prospect communications through bulk email correspondence
  • Coordinate events for clients, prospects, and internal team
  • Assist with other general administrative and office management duties as needed
  • Help with client service activities such as meeting preparation, account paperwork, and responding to client requests
  • Act as a liaison between clients, investment professionals and other members of the service support team to provide clients with a personalized, high-touch service experience. This includes frequent interaction with clients and prospects both verbally and in writing
  • Assist with relationship onboarding tasks such as prepping account paperwork, tracking setup via custodian partners and leading welcome and training calls for new clients
  • Help with account maintenance tasks including deposits, cash disbursements, performance reporting, account terminations and other special requests as needed
  • Participate in team meetings and collaborate with operations leadership team on projects and/or initiatives designed to streamline firm policies and procedures

Qualifications

  • Four-year college degree or equivalent professional experience
  • Excellent interpersonal and verbal/written skills
  • Strong commitment to detail with excellent organization and prioritization skills
  • Proven ability to work in a fast-paced, evolving work environment and able to multitask
  • Enthusiastic professional demeanor and team player
  • Willing to take initiative
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Office 365, etc.) is a must
